PulseFit: Multi-Location Fitness Operations & Automated Billing Operating System
Halcyon Fit was running bookings, billing and trainer pay in three tools. We replaced that with one gym operating system.

What was broken, and what we built
First the workflow that was failing. Then the product and the technical choices that made the change hold.
What was broken: three tools and double-booked classes
Halcyon Fit operated 12 boutique fitness studios across two metropolitan areas. Their front-desk staff spent hours manually transferring member attendance data between their booking software, payroll spreadsheets, and Stripe billing dashboard.
High-demand class slots frequently experienced race-condition double bookings, leading to frustrated members and operational chaos for studio managers.
What we built: one lock on a seat, one ledger for money
We built a cross-platform mobile member app and web studio portal. To prevent class booking race conditions, seat reservations employ temporary Redis distributed locks with a 5-minute checkout lease. If the checkout isn't completed, the seat is released back to the waitlist automatically.
Membership tiers, guest passes, and recurring Stripe subscriptions were unified directly in a single PostgreSQL ledger, automating trainer commission calculations and monthly member invoicing in one click.
- Distributed Redis reservation locks preventing double-booking race conditions
- Automated Stripe Billing subscription lifecycle management with smart retry dunning
- Automated push notifications for waitlist advancements and class schedule updates
- Custom role-based permissions for studio receptionists, fitness coaches, and regional managers

Services used on this build
Full-Stack Product Engineering & Ongoing Software Maintenance
You know what the product should do. We turn that into a frontend, a backend, a data model and a way to ship updates, then keep it healthy after launch with maintenance, SLAs and code ownership.
Custom SaaS Platform & Complex Management Systems
The work is running on spreadsheets and three subscriptions. We replace that with one SaaS product: tenants, billing, roles and the workflow your team already knows.
B2B UI/UX Product Design & Enterprise Design Systems
B2B software is not a landing page. We design the screens operators use for eight hours: dense tables, keyboard paths, and a Figma system that matches the code.
